Office Administrator (m/f)

Job Description

  • Answer all incoming telephone enquiries in a professional and efficient manner and direct to the appropriate department. 
  • Offer proactive administration assistance to the Managing Director and Sales Managers to help them effectively and efficiently manage their time. This will include diary management.

  • Manage the company pool car by keeping track of its usage, checking periodically for any warnings or maintenance that may be required (including checking tyre pressures) and taking the car for regular cleaning.

  • Assist in the preparation of company communications e.g. presentations, letters, memos, reports, emails and notices. In addition, ensure all company notice boards are kept up to date.

  • Be responsible for the arrangement of all company travel within the business (flights, accommodation, transfers, car hire etc.) and try to ensure the best value for money is obtained.

  • Be responsible for all visitors to the company with regards to transfers, accommodation and refreshments.

  • Order and maintain kitchen stock for the company including coffee, tea, milk, soft drinks, cleaning products etc.

  • Manage and control the costs of service contracts such as drinks vending,  photocopiers, stationery, cleaning, gardening etc.

  • Manage the company postal contract and frank all outgoing post daily. Also, deliver incoming post to the appropriate department.

  • Arrange and organise all off-site meetings, away days and events involving clients, third parties and employees.

  • Be the Lean Admin Co-ordinator (LAC) for the Company’s 5S programme and champion all 5S activities for the support services function.

  • Take minutes of meetings on an ad-hoc basis as and when required.

  • Work with the HR Manager on other projects and assignments where appropriate.

Candidate Profile

  • Must have previous working experience in an administration role.
  • Experience working in a secretarial capacity would be advantageous.

  • Must have an excellent telephone manner.

  • Must have the ability to manage and prioritise workloads and remain calm and level headed in pressurised situations.

  • Must have a pro-active, can-do attitude, not reactive. 

  • Must be willing to take on additional tasks as and when required; flexibility is key.

  • Must be educated to ‘A Level’ standard or equivalent.

  • Must have excellent grammar and literacy skills.

  • Must have a good competent knowledge of all Microsoft Office programmes.

  • Must be organised and skilled in time management.

  • Must be happy, enthusiastic and self-motivated in order to fit in with our office culture.

  • Must be able to effectively prioritise and manage workloads.

Reporting to the HR Manager

The Office Administrator is primarily responsible for the smooth and efficient handling of all company administration duties including administrative assistance to the Senior Management Team.

The Office Administrator will also be responsible for dealing with all incoming telephone enquiries and directing these calls to the correct departments
